Who You Are: Amoskeag Health is seeking an organized and collaborative Medical Records Supervisor to oversee daily workflows and ensure consistent, high-quality operational support. You support key functions including Medical Records, Prior Authorizations, and Referrals, and partner closely with leadership to maintain standards, meet departmental goals, and deliver excellent internal and external customer service. What You'll Do: Assists Operations Support Manager in developing, implementing, and maintaining operational workflows, procedures, and systems that support efficient and effective management of Health Information, Referrals and Prior Authorizations. Ensures accurate and timely completion of all tasks to best support health center operations: tracks and monitors daily workload of areas of responsibility to ensure Operations Support expectations are met. In collaboration with Operations Support Manager employs, develops, evaluates, and retains high-performing team members that contribute to the advancement of the mission of Amoskeag Health. Manages optimal staffing model for Operations Support identifies training needs, completes performance appraisals, provides coaching or corrective counseling, and recognizes and celebrates strong individual and team performance. Maintains effective communication between Operations Support Manager and Operations Support Team. Analyzes & manages day-to-day coverage issues, reviews timecards for accuracy, and makes recommendations for staffing based on patterns identified. Provides ongoing, timely feedback to the Operations Support Manager about personnel performance, training needs, and team relationships. Works with other community stakeholders to assure smooth business operations between various internal and external systems (including hospitals, MIS department, referring agencies, provider staff, etc.). Identifies and suggests procedural and systems improvements in Operations to enhance workflows between areas of responsibility and clinic operations. Maintains familiarity with office and technology systems as they apply to a clinic setting. Maintains current legal or risk management issues regarding patient confidentiality and medical records including HIPAA and 42 CFR Part 2, Oversees the flow of information from the Electronic Medical Record in accordance with established protocols, assuring compliance with confidentiality and other laws and regulations. Ensures that all equipment and tools for areas assigned are maintained in good working order. Organizes, facilitates, attends, and participates in staff and other meetings as directed. If absent, responsible for reading minutes of meetings and signing the documentation. Completes mandatory safety-related training as assigned by the Senior Management Team. Attends seminars and educational programs necessary to gain knowledge and training in selected areas. Performs other duties as assigned by Operations Manager
