Location of Workplace Main UNCW Campus Brief Summary of Work for this Position The HR Staffing Specialist plays a key role within the Talent Acquisition team, actively contributing to both internal and external initiatives that support Human Resources and advance the strategic priorities, goals, and initiatives of the University. As a strategic business partner and primary point of contact, this position collaborates closely with departments across campus to address temporary faculty and staff recruitment needs. Additionally, the specialist supports assigned colleges in meeting full-time faculty hiring objectives. This role requires regular coordination with campus stakeholders, the UNC System Office, and other institutions or agencies as necessary. The Staffing Specialist provides expert guidance on relevant regulations, policies, and procedures to ensure compliance with UNCW personnel programs and state and federal requirements. Operating with a high degree of independence, the incumbent exercises sound judgment, professionalism, and discretion while advising and consulting with university constituents. This is a fast-paced, customer-focused environment that demands a strong sense of urgency, attention to detail, and a commitment to excellence. Success in this role requires collaboration, innovation, and a proactive approach to problem-solving. The HR Staffing Specialist reports directly to the Senior Talent Acquisition Consultant. Responsibilities include but are not limited to:
  • Consulting with campus stakeholders to support recruitment and hiring of top talent.
  • Serving as a subject matter expert on recruitment and hiring processes for assigned colleges.
  • Providing guidance and ensure compliance with university, UNCSO, OSHR, and federal/state employment policies and regulations.
  • Managing recruitment and hiring for temporary faculty and staff positions.
  • Administering hiring processes in ERP and ATS systems for various employee groups (faculty, staff, adjuncts, postdocs, etc.).
  • Maintaining personnel files, scanning documents, and managing credentialing processes.
  • Staying informed on pay procedures and use of the Faculty Load and Compensation (FLAC) module.
  • Developing and delivering training for stakeholders on recruitment, hiring policies, and compliance.
  • Participating in cross-functional HR projects and support university-wide initiatives.
  • Assisting with strategic HR initiatives and implementing related programs.
  • Developing user-friendly tools and digital resources to streamline temporary employment hiring.
  • Ensuring recruitment-related website content and materials are current and accurate.
  • Performing data queries and inputting in ERP systems; understanding system interfaces and data impacts.
  • Performing additional duties and special projects as assigned.
Minimum Education and Experience Requirements Graduation from a four year college or university; or an equivalent combination of training and experience. Preferred education, professional skills and experience
  • Bachelor's degree in Human Resources Management, Business Administration, or a closely related field.
  • At least two years of professional experience in a human resources role within a higher education setting.
  • At least two years of direct experience in employment recruitment, including sourcing, screening, and onboarding
  • Experience with applicant tracking systems and ERPs (e.g., PeopleAdmin, Banner, PeopleSoft)
  • Strong technical aptitude and competence with Microsoft Office 365 - Excel, PowerPoint, Word, Outlook,) virtual meeting platforms (Teams/Zoom), and a willingness to adapt/learn new technologies.
  • Effective written, verbal, and positive interpersonal communication skills to engage with constituents while performing the responsibilities of the position.
  • Strong attention to detail, accuracy, and meeting deadlines.
  • Experience processing a high volume of work where there are frequent interruptions.
  • Experience in designing and delivering training sessions, developing instructional materials, and creating standardized templates to support recruitment processes.
  • Professional certification from HRCI (e.g., PHR, SPHR) and/or SHRM (e.g., SHRM-CP, SHRM-SCP).
